Identify licensed users

If you are using OKRsignal in free trial mode, you can skip this step and come back to it when you're ready to purchase licenses. You only need to purchase licenses for users who will edit or update OKRsignal data. Anyone with an account in your ADO Organization can view OKRsignal as long as they have access to the dashboard containing the OKRsignal widget.

What this step does

Your CXOsignal license specifies how many seats your organization has purchased. This step creates an Azure DevOps security group that tells OKRsignal who fills those seats. Both are required: the license (purchased at cxosignal.com) controls the seat count, and the ADO group controls which specific users can create and edit OKRs.

Decide who needs full OKRsignal access

Licensed users are the people who will create Objectives, add Key Results, attach Epics, enter missing estimates for work items, create Issues, create Signals, enter Decisions or Notes, create OKR hierarchies and update progress. This is typically a small group consisting of:

  • OKR Owners/Shepherds — people responsible for each Objective
  • OKR Team members — people on an OKR team who help the OKR Owner
  • The OKR program coordinator — whoever is managing OKRs across the Organization

Executives and senior leaders who only need to view OKR dashboards do not need a license. See Grant Stakeholder access for how to set up read-only access.

ADO allows you to add users with an access level of Stakeholder. Stakeholders have view-only access and cannot edit OKRsignal data. Additionally, Stakeholders do not consume an ADO or OKRsignal license seat. You do not need to add Stakeholders to the CXOsignal-OKR-Signal-Users group.

Open Organization Settings

In Azure DevOps, click Organization settings at the bottom of the left navigation panel. This requires Project Collection Administrator permissions.

Go to Permissions and create a new group

Under the Security section, select Permissions. Click New group and enter the following:

  • Group name: CXOsignal-OKR-Signal-Users
  • Description: Members with full OKRsignal edit access

Click Create group.

Add members

During your free trial, OKRsignal keeps track of every user who has edited an OKRsignal widget. The easiest way to add members to CXOsignal-OKR-Signal-Users is to open the configuration screen on any OKRsignal widget, go to the Licensing tab, copy the list of trial users, and paste these into the group members field for the CXOsignal-OKR-Signal-Users group.

Alternatively, open the CXOsignal-OKR-Signal-Users group and select the Members tab. Click Add and search for each person by name or email address. Add all the users identified in Step 1.

Keep the group size within your purchased seat count. Users who are not in the group can still view OKRsignal — they will simply not be able to create or edit OKRs.

Verify the group membership

Confirm that all OKR Owners appear in the Members list. OKRsignal will grant full create and edit access to members of this group as long as the number of purchased licenses is equal to, or greater than, the number of people in this group. You can return to this group at any time to add or remove members as your OKR program grows.
